Roles & Permissions Overview
The Roles & Permissions settings let you control what different staff roles can access and do in the system. Permissions are organised into main permissions and sub-permissions, with some modules (such as Timetable) using access levels.
1. Main Permissions & Sub-Permissions
Main Permissions
Main permissions control access to a module (for example: Students, Sales, Timetable, Reports).
If a main permission is disabled, the user cannot access that module at all.
If a main permission is enabled, sub-permissions under it can be configured.
Sub-Permissions
Sub-permissions control specific actions within a module, such as:
Deleting students
Merging students
Reversing payments
Sub-permissions can still be selected even when the main access level is set to “View all” or “View own”.
However, the user will only be able to perform actions that are compatible with their access level.
2. Timetable Access Levels
For the Timetable module, access is controlled by levels instead of simple checkboxes.
Access Level Meanings
Manage all
View and manage all lessons (create, edit, reschedule, delete).View all

Sub-permissions can still be selected, but editing actions remain restricted.Manage own

3. Relationship Between Access Level & Sub-Permissions
Access level determines the scope (all vs own, view vs manage).
Sub-permissions determine which actions are allowed.
Selecting a sub-permission does not override the access level.
In short:
Access level controls what you can see.
Sub-permissions control what you can do.
4. “Show in Timetable”
Show in Timetable controls whether a staff member appears in timetable views.
Enabled: the staff member is visible and selectable in the timetable (e.g. as a teacher).
Disabled: the staff member does not appear in the timetable, even if they have other access.
This is useful for administrative staff who should not appear as teaching resources.
